As the Team Representative you play a very important role in how your team operates. You are the Managers support system to help ensure your team has the best and smoothest possible season. Communication and organization are key to a successful season!!
Please watch for emails and check our website calendar for important updates and meeting notifications. The league will host at least one mandatory Team Rep Meeting each season but will likely meet once a month. Supporting our Team Reps is extremely important to us, as you are the heart of the team!

***It’s very important that families are aware that everyone is expected to volunteer approx. 10 hours per season***
Here are a few important tips to help get you started……………….
SCOREKEEPERS: - (Scorekeepers are needed for all teams in the Coach Pitch/HYBRID Division and above)
- GAMES WILL NOT START WITHOUT YOUR SCOREKEEPER IN THE SCORE BOX.
- The scheduled HOME team is responsible for keeping score for that game.
- It’s always best to find at least 2-3 scorekeepers per team (just in case someone isn’t available).
- There will be an assigned scorebook for each division and each park. You can find your divisions “Official Field Scorebook” in the snack bar. (Except for the Junior Division – please talk to your Manager about where the score book is kept).
- Scorekeeping Clinics will be available during the Spring Season, please watch for emails or check our website calendar for scheduled classes!

If your team scorekeeper needs any extra training, please reach out to reach out to our Volunteer Coordinator at Volunteers@CitrusHeightsLL.com ASAP.
SNACK BAR:
- GAMES WILL NOT START WITHOUT YOUR WORKER IN THE SNACK BAR.
- The scheduled HOME team is responsible for covering the snack bar shift for that game.
- Once the game schedule is available, the Team Rep is responsible for assigning a snack bar worker for every HOME game. The sooner you assign your workers, the better! Let your families know ASAP which day they are scheduled to work in the snack bar, so they can plan accordingly.
- If for any reason a parent/guardian is unable to work their scheduled snack bar shift, they must either swap days with another parent/guardian or find a replacement immediately.
- Please check with the Volunteer Coordinator to see if there is an available “Buy-out” list (a list of members available to work snack bar shifts for a buy-out). IMPORTANT: The parent/guardian who needs their shift covered is responsible to pay the member for working their shift.
- Each snack bar shift will start 30 minutes before the start of their game and ends 30 minutes after their game ends. This allows time for set up and clean up.
- You can split the shifts in half or have your parents/guardians work full shifts – it’s completely up to you and your Manager. Its important that your families know that either way they are working the same amount of time.

OPENING DAY PARADE:
- Please watch for emails and check the league calendar on our website for updates on when Opening Day is scheduled for the current season.
- The Opening Day Parade will start at 10:00 AM.
- Each team will be responsible to work a booth, table, or have an activity to monitor for a portion of the event. Please watch for emails and updates on when/where your team is assigned.
There are several additional expenses during a season that are not covered by the league. Talk to your parents during the first week of practice to discuss these costs and collect funds for these items. Many Team Reps will collect half of the funds in the beginning of the season and collect the other half towards the end of the season.
BANNERS:
- Each Team needs a “TEAM BANNER” to hang during each game.
- The Team Rep is typically responsible to create the banner but please run it by your Manager first. You can make one yourself, or order one.
- Its important to order Banners ASAP to ensure you have them before games start and before the Opening Day Parade.
- You can purchase your banner from any site/company that you’d like. We have a list companies that Team Reps have used in the past (these will be discussed at the mandatory Team Rep Meeting).
- Although you can design your banner anyway that you’d like, there are several pieces of information that must appear on every team’s banner:
- League Name
- Year
- Division
- Team Name
- Team Sponsor (company name will be provided to you)
- Manager & Coaches Names – (1 manager & 2 Coaches)
- Player Names
- Team Rep Name (is optional)
TROPHIES/AWARDS (Optional):
- At the end of each season teams may purchase trophies/medals to award their players.
- This is completely up to the teams Manager and is not mandatory.
- The league does not cover the cost of trophies/awards, you will need to collect funds from your parents/guardians.
- Trophies/Awards can be purchased from anywhere you’d like, but please run them by your team Manager first.
END OF SEASON TEAM PARTY (Optional):
- At the end of each season, you may plan an “End of Season Party” for your team.
- This is completely up to the teams Manager and is not mandatory.
- The league does not cover the cost of the party, you will need to collect funds from your parents/guardians.
- You can plan anything you’d like, but please run it by your team Manager first.
CLOSING DAY:
- Please watch for emails and check the league calendar on our website for updates on when Closing Day is scheduled for the current season.
- Closing Day will start at 10:00 AM.
- An Election for next seasons Board of Directors will be held during Closing Day. Please reach out to the league Secretary at Secretary@CitrusHeightsLL.com if you would like your name to be added to the Ballot or nominate another Member.
- Each Team is responsible donating a Raffle Basket. Please watch for emails for more information about the Raffle.
